Timezone Handling

This guide explains how time zones work in iCFM and Artist Access, and how to book Jobs correctly when working across multiple regions.


User Time Zones in iCFM
When you're logged into iCFM, all times shown (including on the Schedule page) are based on the Depot set on your User profile. This means if your User account is linked to a London location, all Jobs you view and create will appear in London time.

If you create a Job from 09:00 to 17:00, that’s 9am–5pm in your time zone — not necessarily the time zone of the Artist or other Users viewing it.


What Other Users See
Everyone sees Job times adjusted to their own time zone. So if a colleague or Artist logs in from a different location, the Job time will be automatically converted and displayed accordingly. You don’t need to do anything for this adjustment — it happens in the background.


Artist Access Time Zone
Artists (Resources with a category of 'People') view their bookings in Artist Access, which always reflects their local device time. That means no matter where the Artist is, they’ll see Jobs in their current time zone, based on the settings on their computer or phone.


How to Schedule Jobs for Artists in Other Time Zones
If you're booking a Job for an Artist in a different time zone, there are two main options:

  • Temporarily switch your Schedule View to the Artist’s depot (top-left of the Schedule), book the Job at the correct local time (e.g. 09:00), then switch back to your own depot view

  • Adjust manually by converting the time yourself — for example, if the Artist is two hours ahead of you and you want the Job to be 09:00 their time, book it as 07:00 in your view

Both options are valid — use whichever fits your workflow best.


Dragging Jobs Between Artists in Different Time Zones
The Schedule doesn’t align working hours vertically across different time zones. If you drag a Job between Resources in different regions, the start/end time may shift when viewed from their side.

A useful workaround is to drag the Job onto the correct day, then allow the Artist to update the time when they submit their hours in Artist Access. This is a common part of their workflow already, for example when they finish early or only work part of a scheduled slot.

Limitations
The system isn’t designed to show all Resources’ working hours aligned in a single time zone view. Displaying multiple time zones side-by-side would require a fundamental change in how scheduling works across the platform.
