Depot Editor

The Depot Editor is used to manage office locations within iCFM. Each Depot represents a physical site where work is carried out or Resources (such as Artists) are based. These settings affect Job Scheduling, availability, VAT, and financial rules.


It’s recommended to create a separate Depot for each city where your company operates. If you have multiple offices in the same city, you can still configure each with its own Depot – for example, to support business separation, distinct teams, or location-specific reporting.


To add a new Depot:

  1. Main Menu > Admin Options

  2. Open the Depot Editor

  3. Click the Create Depot button at the bottom of the screen - a new row will appear at the bottom of the table

  4. Complete all required fields in the new row (see below for more information)

  5. Click Save to confirm the new Depot


Editing a Depot:

  1. Open the Depot Editor as above
  2. Make the required changes directly in the relevant Depot row

        Important Notes:

  • Changes are saved automatically and take effect immediately across the system
  • Editing or deleting a Depot may impact how Jobs are scheduled and costed across your system.
  • Changes to Currency, Rate Card or Tax settings can affect invoicing and reporting.
  • Only users with a good understanding of your company's setup should make adjustments here.


NameShort identifier for the Depot (e.g. LDN, NYC) shown throughout the system
DescriptionFull name or description of the Depot (e.g. London Office, New York)
Rate CardThe associated Rate Card number defines the pricing model for Jobs in this Depot
CurrencyTick this box if the Depot should apply VAT or tax to ensure correct financial handling
This should always be ticked for any UK-based Depot
VAT/TaxTick this box if the Depot should apply VAT or tax to scheduled jobs and financial calculations
TimezoneSelect the timezone for this Depot (e.g. Europe/London, America/New_York)
This sets the default time reference for Job Scheduling and visibility across the system
CountryThe country where the Depot is based – used to link your Depot to the correct Public Holidays
Public Holiday ColourOptional – enter a hex code (e.g. #A5FFA5) to display public holidays in schedule views
StatusAvailableDepot is active and can be used in the system
DeletedDepot is inactive and hidden from use, but can be restored
ActionsDelete DepotMarks the Depot as deleted (does not permanently remove it)
Restore DepotReactivates a previously deleted Depot
