Cross-Site Schedule Sharing allows you to view Resource bookings across linked CETA sites in real-time, for example between your main facility and satellite studios. This is useful for production teams who need to see a Resource's full Schedule commitments across multiple locations when planning new bookings. The system now retrieves external Job data on-demand when you view the Schedule, displaying external bookings as a translucent overlay so you can immediately see which Jobs belong to your site and which are from linked sites.
What's Changed
We've completely rebuilt how Job data is shared between linked sites. Previously, sharing relied on a middleware process that would transfer and copy Job records from one site to another, which had several drawbacks including 5-10 minute synchronisation delays, no retry mechanism if there was an internet outage during transfer, and "dummy" Job records being created on satellite sites which could cause database clutter. The new system queries linked sites directly when you load a Resource's Schedule and displays any relevant bookings immediately.

- Instant updates - external bookings appear immediately with no waiting for sync processes
- More reliable - if a linked site is temporarily unreachable, it simply won't show external Jobs until connectivity is restored, but your local Schedule remains fully functional
- Cleaner data - external Jobs are displayed at runtime only and are never stored as actual records on your site, keeping your database clean
- More secure - third-party Job data isn't stored locally, reducing data exposure between sites
- Visual clarity - external bookings appear as "ghosted" entries, making it clear which Jobs belong to your site and which are from elsewhere
What You'll See
When viewing the Schedule, external bookings from linked sites will appear with a translucent or "ghosted" appearance to distinguish them from your own Jobs. These external Jobs and Shifts are visible on the Schedule only - you cannot open or edit them as they belong to the linked site. A traffic light Status indicator appears in the top right of the Schedule showing the current connection status with linked sites - green means all linked sites are reachable, amber means some sites are temporarily unreachable, and red means no linked sites can be reached. All times shown are based on your User profile's timezone setting, with external Jobs automatically converted to your local timezone for display.
What You Need to Do
Nothing - the change is automatic. If you have cross-site sharing configured, you'll simply notice external Jobs appear faster and see the new visual indicators described above.
