Show Special Projects in Artist Access

In Artist Access, Artists must record which Projects they were working on for 100% of their working day in order to Complete the Jobs. Special Projects (or Internal Projects) allow Artists to record time spent on non-typical work such as downtime due to hardware failure or network issues, or work completed on internal projects such as showreels, training, admin tasks, etc.


Please Note: Special Projects are treated as any other Project but are useful to report on expenditure which isn't being billed to a Client.


How to Create a Special Project:

  1. Add a new Project (or open an existing Project you wish to convert to a Special Project)
  2. Fill in the required fields (shown in bold):
    • Project Type: Choose the appropriate Project Type
    • Product: Select your own Company*
    • Title: Give it a descriptive name such as "Downtime", "IT Updates", "Training" etc.
    • Company: Select your own Company*
    • Contact: Select an appropriate internal contact
    • Our Contact: Select an appropriate internal contact
    • Project Start/End dates: These can be any dates - Special Projects remain visible in Artist Access regardless of the date range
  3. Click Save
  4. Once saved, tick the Artist Access checkbox (this becomes available after the first save)
  5. You will be prompted to select a default Service:
    • If entered, this Service will be booked on the Artist Resource when a Job is created for the Project
    • If left blank, the Service will default to the Resource's default Service
  6. Save the Project again


*Please Note: If your Company is not already listed under Company or Product, you will need to add these first before they can be selected.


Once set up, Special Projects will appear above the ordinary project list in the left-hand toolbar in Artist Access. They are always visible to all Artists regardless of whether the Artist has been booked onto the project, allowing Artists to easily drag them onto their calendars to represent time not working on regular client projects.
