In order for an artist to record their Actual Hours and ensure the work completed on their Jobs is accurate, they will need to log in to Artist Access. The Artist should already be added as a Resource in iCFM, but until you give them login details, they will not be able to log in to or use Artist Access.
Please Note: Artists do not count as iCFM User Accounts, so you can have an unlimited number, and they are not billable.
To generate Artist Access logins:
- Open the Resource
- Enter a Username for the Artist to log in with
- Click Save
- Click Reset next to the Password field
- Enter a Password, and re-enter when prompted
- Share the credentials & with your Artist (they will not receive notification from iCFM)
- URL: Your iCFM URL followed by /artistaccess
- Username: (As set above)
- Password: (As set above)
- User Guides: Artist Access User Guides
Artist Configurations:
By default, Artists are able to create Jobs in Artist Access for Projects they are already booked on. However there are three options for when/if Artists can create Jobs. You can configure this under the Artist Access heading on the right hand side of the screen:
- Never: The artist cannot add new projects to their diary
- For Projects booked on: The artist can add new entries only for projects booked on previously
- For any Project: The artist can book Jobs for any Project
(Please Note: Artists can add Special Projects regardless of which setting is selected here)
Cost Centre / Time Zone:
You need to configure a Cost Centre (or Depot) for each of your artist's locations and assign it to them on their Resource Details page. This ensures that the artist's time zone is correctly applied, allowing times to be displayed accurately for their specific location. Please contact CETA if you need to add new Depots.
