Record Actuals on a Job (Producer)

In order to complete Jobs in iCFM you need to 'actualise' them, which you do by entering the Actual Hours the Artist or Resource has spent working on a Job. This can either be completed manually for each Job by a producer, or for multiple Jobs at the same time using the Actuals Collection screen. Note that the Actuals Collection screen does not allow adjusting the Service Actuals - if this is required it must be done using the Job > Schedule screen (as described below).


You can record how many Regular working hours were spent working on the Job, any Overtime or Weekend hours worked, and any Lunch break taken (which will be excluded from Service Actuals).


To Record Actuals on a Job:

  1. Open the Job > Schedule tab
  2. Check and amend the Actual Hours if neccessary
    • By default, these are calculated by the Start & End Times of the Job & the Working Hours of the Resource
    • The total of the Actual Hours must add up to the scheduled duration, indicated in the Start/End column
    • Please Note: It is assumed that Services are performed concurrently (ie by default the Actuals for all services will be the sum of Regular, Overtime and Weekend). If this was not the case then the Service Actuals can be manually adjusted.
    • Adjusting Actual Hours will update the associated Costs (which may or may not be visible to the user, depending on user permissions)
  3. Set the status of Resource to Completed, using the double check mark icon
  4. Repeat Steps 2-3 for any additional Resources on the Job
    • Once all Resources have been Completed, the Job will automatically change to Completed (unless there are any outstanding reasons why the Job cannot be Completed)


Please Note: Once the Actuals have been entered and the Job Status set to Completed, the actual hours will be locked so that they cannot be altered unless the Status is reverted.
