Add a Quote

Modified on Wed, 8 May at 11:07 AM

Most of the time you will be working from an existing Quote Template, as many Projects will use largely the same Services. The quickest way to add a Quote using a Template is directly from your Project Summary page, as the Project information will be prepopulated.

To add a new Quote to a Project

  1. Open the Project you want to add a Quote to
  2. Click New Quote (+) while on the Project Summary
  3. Select your preferred quote template
  4. A new tab will open with your new quote
  5. Check/Update the Quote Header
  6. Check/Update the Cover Letter *
  7. Check/Update the Quote Details **
  8. Click Save

*To edit the Cover Letter:

  1. From the Quote page, open Menu > Edit Covering Letter
  2. A new tab will open
  3. Add/Edit the Cover Letter content (Please Note: iCFM has no built-in spell check. Please enable the relevant Firefox language pack (or equivalent) to use the spell check functionality in your browser.)
  4. Click Save
  5. Close the tab

**To edit the Quote Details:

  1. First double-click the section you want to add services to (a red box will mark the section as active)
  2. Select the Service from the drop-down on the toolbar above your sections
  3. Update the Quantity, Description, and Time/Units of the Service
  4. Click Save
  5. The Service will be added to the active section

Please Note: The Quote details are edited inline. If you used a Template to create your Quote, you should only need to update the Time/Units and the price of each Service/line item on the Quote.

By default, the Quantity will be 1, and once you edit the Time/Units column, Totals will start to appear. Any line items with 0 Time/Units will not appear on the Quote PDF.

The Total on each line is calculated automatically by multiplying Quantity, Time/Units, and Unit Price. You can not edit the Total directly, but changing either the Unit Price or Discount % will re-calculate it for you. Changing the Discount % will update the Unit Price, and vice-versa.

It is also possible to apply Mark-up to a line item. This will NOT adjust the Unit Price or Discount, but will affect the Total. When you create your PDF, the Mark-up for that item will actually be listed on its own line - and not included in the total for that service.
