Rate Cards

iCFM contains a rate card system. This is where you set up all the different Services and deliverables that you will ever need to bid, schedule, order, or bill.


Rate Card Field
Description
Service Code
This is the unique code you give to each Service. It can be anything, but shorter is better, as it will be used in lots of reports. We suggest no spaces and all upper-case, but this is optional. Often, our customers will use the AICP code for this - but you are free to use whatever you wish.
We personally think it works best if you have something human-readable (eg "FLAME" or "OFFLINE") rather than a code which might be harder to remember.
GL / Nominal Code
This code will link the Service back to an account in your finance software. In the UK - this is usually called a "Nominal Code", and in the US it is typically called the "GL" or "General Ledger" code. Your accountant will be able to help you decide which codes to use.
Usually, each type of service will share the same GL code. This allows you to group services together that you might want to perform calculations on.
Of course, iCFM has its own reporting tool so we do not care what you use for the GL code - but if you plan on running reports from your finance software - please make sure you enter this value correctly.
Unit Price
Each Rate card service stores a few rates; the most obvious being the price you would prefer to sell the item at to your client before any discount. We call this the "Rate card Price".
This price will be used whenever you create a new Bid (unless you have configured a Custom Rate card for specific clients.)
You are able to apply discounts and markup to most services (according to their "discount" setting) when bidding or billing - so the Rate card price is really only a guideline price.
Cost per Unit
/ 3 Tiers
We also track 3 other prices with each service, labelled "T1", "T2" and "T3". These are what we call the "Tiered" rates - and they are to help you track the approximate cost of providing this service.
Most of our customers use them to track rates for Junior, Mid-Level and Senior artists - but you can re-purpose them to suit your own requirements. By adding these costs, you are able to perform a very quick profit and loss estimate at the time of bidding. Often, when bidding, you will not know which specific artists you plan to use on the Project, but you might well know which "tier" they will likely come from, depending on the complexity of the work to be done.
NOTE: These Tiered Costs are only really used when Bidding. When it comes to scheduling you can enter the real rates of the Artists you are using.

It is possible to have more than one Rate Card. You may have multiple buy and sell rates for the same Service in different countries, or perhaps for different types of Clients. Please contact CETA to add additional Rate Cards.
