Department Editor

The Department Editor is used to manage departments within iCFM. Each Department represents a logical grouping that can be linked to users, resources, and purchase orders. These settings affect scheduling, cost handling, and reporting across the system.


It’s recommended to create a separate Department for each distinct team or functional group within your company. This ensures clean reporting and proper routing of approvals, such as Purchase Order Authorisation emails.


To add a new Depot:

  1. From the Main Menu, select Admin Options

  2. Open the Department Editor

  3. Click the Create Department button at the bottom of the screen – a new row will appear at the bottom of the table

  4. Complete all required fields in the new row (see field descriptions below)

  5. Click Save to confirm the new Department


Editing a Depot:

  1. Open the Department Editor as above

  2. Make the required changes directly in the relevant Department row

        Important Notes

  • Changes are saved automatically and take effect immediately across the system

  • Editing or deleting a Department may impact how Jobs, POs, and Resources are scheduled and costed

  • Changing a Department Name will also update references in related tables (cetauser, purchaseheader, resource)

  • Only users with a good understanding of your company’s setup should make adjustments here


NameThe name of the Department, shown throughout the system
PrefixOptional short code for the Department; limited to 10 characters
Department Contact EmailOne or more contact email addresses used to send out notifications for Purchase Order authorisation requests when a PO is raised without permission or above a user’s limit. You can enter multiple addresses or use a group email.
Purchase Order Authorisation LimitThe financial threshold for purchase orders within this Department. POs above this value require approval via the Department contact(s)
StatusAvailableDepartment is active and can be used in the system
DeletedDepartment is inactive and hidden from use, but can be restored


Please Note: only Users with the Permission /superUser will be able to view or make changes in the Department Editor.
