Create an Allocation Style Billing Approval

An Allocation style invoice is different to an Interim invoice because you charge the total value of the work completed rather than a percentage of the Quote total. You can choose which line items to include on Invoices, and can create as many Invoices as required for each Project.

Once a Job has been Costed, a billing line-item will be created for each associated scheduled Service, Misc Cost etc, which you can then allocate to an Invoice in the Client Billing tab.

To create a new Allocation style Billing Approval:

  1. Open your Project
  2. Select Billing > Client Billing
  3. Under Approvals, select 'Create Empty' to create a blank Billing Approval
  4. A pop-up will open for you to add details as required
  5. Click Save (Please note the transaction ID at this point, which will be required later)
  6. Close the pop-up, and you will return to the Client Billing tab
  7. Under Transaction and Invoices, click the link labelled 'Not allocated to Account Transaction' to open the list of Billing line-items that haven't been assigned to a Billing Approval or Invoice
  8. Using the checkboxes, select the items you wish to allocate to this Billing Approval
  9. Using the drop-down in the panel above, select the transaction you wish to allocate them to
  10. Click Apply to confirm Allocation to the chosen Billing Approval
  11. The list of Billing line-items will change to show you the line-items allocated to the selected Transaction ID
  12. Repeat this process until all required items are allocated to the Billing Approval
